Terms & Conditions of

AND ALL OTHER SERVICES PROVIDED BY JAIMIE-ROSE BREWER

Definitions

  • Editor: Jaimie-Rose Brewer, who provides editorial services as described in these Terms and Conditions

  • Client: Any individual or entity who submits material for a Sample Edit, quotation, or paid editorial services

  • Material: Any documents, manuscripts, text, or content submitted by the Client for editorial review or editing (this may include but is not limited to fiction, non-fiction, academic work, articles, web copy, CVs, and/or personal information)

  • Project: The agreed scope of editorial work undertaken by the Editor for the Client in relation to submitted Material, following acceptance of a quotation or agreement to proceed.

  • Sample Edit: A limited, free editorial sample of up to 1,000 words provided to first-time Clients for the purpose of demonstrating editing style and assessing the level of editing required.

  • Editorial Assessment: A preliminary review of an excerpt of the Material used to determine the appropriate level of editing required and to provide an accurate quotation or service recommendation.

1. Services Provided

The Editor works exclusively with English-language Material (including UK and US English styles). The following editorial services for fiction and non-fiction writing are offered:

  • Proofreading (final surface-level corrections for grammar, spelling, punctuation, and formatting)

  • Copy-editing (grammar, spelling, punctuation, consistency, and light stylistic feedback where appropriate)

  • Citation and reference checking (formatting and structural consistency only; no source verification or academic validation)

  • CV design and formatting (layout and presentation only)

Academic work is limited to proofreading and reference checking only.

2. Services Not Offered

The following services are not provided:

  • Developmental, structural, or substantive editing

  • Manuscript evaluations or analyses

  • Ghostwriting

  • Full rewrites or reconstruction of content

  • Academic verification, grading, or subject-matter validation

If the Client requires developmental editing, the Editor may recommend alternative editors or resources where appropriate.

3. Sample Edit Process

A free Sample Edit is available to first-time clients only and is limited to a maximum of 1,000 words. The Sample Edit will be returned within an agreed turnaround period and will be provided using Microsoft Word Track Changes, along with editorial comments where appropriate.

The Sample Edit is provided solely to demonstrate the Editor’s editing style and provide initial insight into the manuscript. It does not constitute a full edit and does not guarantee that all issues within the submitted work will be identified.

Where a first-time client’s entire project is 1,000 words or fewer and falls within the scope of services offered, the Editor may, at their discretion, choose to treat the full project as a Sample Edit at no charge.

Following completion of the Sample Edit, neither the Client nor the Editor is obligated to proceed with additional services. Any further commissions will be charged at standard rates unless otherwise agreed.

 

Academic work included in a Sample Edit is limited to proofreading only. Specialist services such as CV design and formatting, as well as citations and reference checking for academic work are excluded from the Sample Edit.​

4. Editorial Assessment and Scope Recommendations

​​All non-Sample Edit projects require a brief Editorial Assessment before quotation.

 

The Client may be asked to submit 1,000 words (or other agreed excerpt) of the Material for review in order to provide an accurate quotation. Where no Material excerpt is provided, quotations are based on Client-provided information and may be adjusted if the Material differs materially from the initial description once review begins.

The Client may request a specific service (for example, proofreading or copy-editing). However, the Editor reserves the right to determine the most appropriate level of editing based on the condition of the Material.​

Where the requested service does not align with the determined editorial needs of the Material, the Editor may recommend an alternative service and issue a revised quotation. The Client may choose to proceed with the originally requested service; however, the Editor is not responsible for outcomes resulting from the selection of a service level that does not fully address the Project's needs.

If the Editor determines that the Material requires developmental or structural editing, the Project may be declined and the Client referred to a suitable specialist, as these services fall outside the scope of proofreading and copy-editing.​

5. Project Acceptance and the Editor's Right to Decline Work

The Editor reserves the right to decline any Project at my discretion, including but not limited to where:

  • The work falls outside of the scope of services

  • Capacity or timelines cannot reasonably be met

  • The project requires specialist services not offered

The Editor may also decline, pause, or suspend work where client communication is insufficient or significantly delayed.

6. Pricing and Quotations

All pricing provided is indicative only. Final quotes are issued after completion of the Sample Edit or Editorial Assessment. Prices may vary depending on complexity, turnaround time, and the condition of the Material.

General pricing guidance:

  • Proofreading: from R0.15 per word (minimum R150 per Project)

  • Copy-editing: from R0.25 per word (minimum R250 per Project)

  • Citation and reference checking: from R150, plus R10 per reference

  • CV design and formatting: from R250​

Where a Client does not provide a Sample Edit or an excerpt for assessment, quotations are based on the information provided. The Editor reserves the right to revise pricing if the Material requires a different level of editing once review has begun.

7. Payment Terms

  • Payments are made via EFT (electronic funds transfer)

  • Payment details are provided upon acceptance of a quote

  • Unless otherwise agreed, full payment is required prior to commencement of work

8. Delivery and Turnaround

A Sample Edit is typically delivered within 7 days of receipt of the manuscript; however, this timeframe may vary at the Editor’s discretion depending on workload and capacity.

Turnaround times for paid Projects are agreed individually per project and may vary depending on project length, level of editing required, and current workload.

​

While every effort is made to meet agreed deadlines, delays may occur due to unforeseen circumstances or factors beyond the Editor’s reasonable control, including but not limited to illness, technical issues, or delays in receiving required Client feedback or Materials.

9. Client Responsibilities

The Client is responsible for:

  • Ensuring they hold all necessary rights and permissions to submit the Material for editorial services

  • Providing accurate and relevant information about the Project as requested to enable the Editor to assess scope and provide a quotation

  • Submitting the complete and final Material for a Sample Edit, Editorial Assessment, and/or commissioned editing

  • Reviewing editorial feedback and responding to correspondence in a timely manner to avoid delays in the delivery timeline

Where a Client’s response is delayed by more than 5 business days, the Editor reserves the right to adjust agreed timelines accordingly.​

10. Revisions and Feedback

Editing is a collaborative process. Following delivery of the final edited Project, one round of clarification or minor follow-up queries may be included.

Additional revisions or work outside the agreed scope may be quoted separately.

11. Copyright and Ownership

All intellectual property rights remain with the Client. The Editor claims no ownership over submitted Material.

12. Confidentiality

All manuscripts, documents, and client correspondence are treated as strictly confidential. All such materials will not be shared, distributed, or used for any purpose other than providing the agreed editorial service, unless required by law or with the Client’s written permission.

This includes prohibition on sharing client material with third-party AI systems or similar technologies without explicit consent.

13. Refunds and Cancellations

Due to the nature of editorial services, full payment is required upfront prior to commencement of work. All fees are non-refundable once work has commenced. If a Client requests cancellation of a Project after work has commenced, the Editor is not obliged to issue any refund. However, at the Editor’s discretion, a partial refund may be considered based on the proportion of work not completed. Any work completed up to the point of cancellation will be provided to the Client. Each case may be assessed individually at the Editor’s discretion.

14. Limitation of Liability

While all reasonable care is taken during editing, the Editor is not liable for:

  • Any outcomes or decisions made by third parties, including but not limited to publishers, agents, academic institutions, or employers

  • Academic, publishing, or professional results or outcomes

  • Errors, changes, or issues arising after delivery, including those introduced by the Client or any third party

  • Failures, interruptions, or losses caused by third-party platforms or cloud services

15. Founding Client Discount

A founding client discount of up to 10% may be offered for a limited period while building a freelance portfolio. This offer may be amended or withdrawn at any time.

16. Agreement

By submitting a request for a quotation, Sample Edit, or commissioning the Editor's services, you confirm that you have read, understood, and agreed to these Terms and Conditions.
